Proof of Delivery (POD)

A Proof of Delivery is a signed document confirming that freight was delivered to the correct receiver at the correct location in acceptable condition.

What Is Proof of Delivery (POD)?

A Proof of Delivery (POD) is the signed confirmation that your load was successfully delivered. It is typically the delivery copy of the Bill of Lading signed by the receiver, though some shippers have separate POD forms. The POD is your proof that you completed the job, and without it, you will not get paid.

When delivering, the receiver inspects the freight and signs the POD, noting the date, time, and condition of the goods. If there is any damage or shortage, the receiver should note it on the POD before signing. As the driver, always get a legible signature, a printed name, and the date. Take a photo of the signed POD with your phone as backup — lost PODs are one of the most common causes of payment delays.

Modern technology has made POD management easier. Many carriers now use electronic POD (ePOD) systems through apps that let you photograph and upload delivery documents in real-time. This speeds up the billing cycle significantly. Instead of waiting days for paper PODs to arrive by mail, ePODs can be processed within hours, which means faster payment — especially important if you use factoring.

⚠️

Why It Matters

No POD means no payment. Brokers and factoring companies require a signed POD before releasing your money. A lost or incomplete POD can delay payment by 30-60 days or result in non-payment. Getting clean, legible PODs on every delivery protects your cash flow.

📚

Real-World Example

David delivers a $4,200 flatbed load of steel beams to a construction site in Denver. The site foreman signs the POD but his signature is illegible and he does not print his name. When David submits his invoice, the broker disputes the delivery. It takes 3 weeks to resolve. If David had asked the foreman to print his name and taken a photo, he would have been paid within 3 days through factoring.

Frequently Asked Questions

What if the receiver refuses to sign the POD?+
Contact your dispatcher immediately. Do not leave the freight without a signed POD. We will contact the broker to resolve the situation.
How quickly should I submit my POD?+
Submit it immediately — the same day you deliver. Taking a photo and sending it to your dispatcher right at the dock is best practice. Faster submission means faster payment.
Can I get paid without a POD?+
Almost never. Brokers and factoring companies require a signed POD before releasing payment. In rare cases, alternative delivery confirmation (GPS logs, receiver email) may be accepted, but this causes significant delays.
